Bag Quotation Software for Woven Sack & Packaging Plants
A quotation is the costing with a buyer's name on it. Nexora turns a finished bag calculation into a quotation on your own letterhead — several items on one sheet, freight and packing carried separately, your own terms, and a clear answer to the only question that matters: does this row make money?
What a woven sack quotation has to carry
Most plants quote from a spreadsheet copied off the last enquiry. It works until the buyer asks why the rate moved, or until three sizes go out on one sheet and two of them are priced off last month's resin. A quotation is a document you can be held to, so everything on it has to come from somewhere.
| On the sheet | Where it comes from |
|---|---|
| Buyer, reference, date, validity | Typed once, carried on every printed copy |
| Each item's construction and size | The saved calculation, not retyped |
| Bag weight, and the target it was quoted against | The calculation engine |
| Quantity and the rate basis | Per bag, per kilogram or per 1,000 — your choice per quotation |
| Freight, packing and any other charge | Entered as their own lines, not buried in the rate |
| Terms and conditions | Your own wording, kept and reused |
From costing to quotation, without retyping anything
This is the part that saves the day. The bag costing already holds the construction, the size, the mesh and denier, the layer GSMs, the component weights and the raw material each bag consumes. A quotation does not recalculate any of it — it picks the saved calculation and puts a buyer, a quantity and a margin on top.
Nothing is re-keyed between those steps, so nothing can drift between them. If the specification changes, the calculation changes, and the quotation built on it is the one that changed — not a spreadsheet somebody forgot to update.
A quotation is a table of rows
One enquiry rarely means one bag. A buyer asks for three sizes, or the same sack in two GSMs, or a plain sack and a BOPP version of it side by side. Each row on the quotation is its own item, with its own construction, its own quantity and its own rate — and the sheet totals them. You are not sending three separate quotations for one enquiry any more.
A quotation with nothing calculated behind it
Not every line in a quotation is a bag you make. A bought-out liner, a traded item, a printing cylinder charge — those need a row too. Nexora lets a quotation carry an item with no calculation behind it, typed in directly, so the sheet the buyer receives is complete rather than complete-except-for-one-thing.
Does this row make money?
This is the question a quotation usually cannot answer until the order is finished and the year is closed. Nexora answers it while you are still typing.
Each row carries its own profit or loss against the costing behind it, and the quotation carries its profit before tax. A row that is under water is visible before the sheet is printed, not in a review three months later. That is the difference between quoting and discovering.
It matters most where you would least expect it. A buyer negotiates the headline rate on the big item and you concede it, and the small item nobody argued about is the one that was carrying the order. Priced row by row, that shows up immediately.
The money itself lives in your own installation, against your own dated price master and process rates. Nothing of that is published here — request a demo and we will run your own enquiry.
Freight, packing and anything else
Charges that are not the bag belong on their own lines. Freight to the buyer's godown, bale packing, a pallet, a cylinder charge for a first print job — each entered separately so the bag rate stays the bag rate. Bury them in the per-kilogram figure and neither you nor the buyer can explain the quotation six months later.
Terms and conditions, in your own words
Payment terms, delivery period, tolerance on weight and count, GST treatment, validity of the rate, what happens if resin moves before the order is confirmed. Written once in your own wording, kept, and carried onto every quotation — because the terms are what you are actually agreeing to.
Printed on your own letterhead
The quotation prints in your own house style with your company details: your logo, your address and GSTIN, the items, the charges and your terms. It is a commercial document and it stays one — the construction drawings belong on the calculation sheet inside the plant, not on the sheet that goes out to a buyer.
Mail or WhatsApp, in one click
The finished sheet goes out from the task bar — email or WhatsApp, configured once under Settings → Company. In this industry a quotation reaches the buyer on WhatsApp more often than it reaches them any other way, so it is a button, not an export-then-attach-then-find-the-number.

Frequently asked questions
What is a woven sack quotation, and how does Nexora build one?
A quotation is the costing with a buyer on it: the items, their specifications, the quantity, the rate basis, the charges that are not the bag, and the terms you are agreeing to. Nexora builds it from a saved calculation rather than a blank page, so the construction, the size and the bag weight on the sheet are the ones the engine worked out, not ones somebody typed again.
Can one quotation carry more than one bag?
Yes. A quotation is a table of rows, and each row is its own item with its own construction, quantity and rate. Three sizes, or the same sack in two GSMs, or a plain sack next to its BOPP version, all go out on one sheet with one total — instead of three separate quotations for one enquiry.
Can I quote something that has no calculation behind it?
Yes, and you will need to. A bought-out liner, a traded item, a cylinder charge for a first print job — none of those are bags you calculate, but all of them belong on the sheet. Such a row is typed in directly so the quotation the buyer receives is complete.
Does it tell me whether a quotation is profitable before I send it?
That is the point of it. Each row carries its own profit or loss against the costing behind it, and the quotation carries its profit before tax. A row that is under water is visible while you are still typing, rather than in a review after the order has run.
Where do freight and packing go?
On their own lines, never inside the bag rate. Freight to the buyer's godown, bale packing, a pallet, a cylinder charge — each is entered separately. Blend them into the per-kilogram figure and neither you nor the buyer can explain the quotation six months later.
Can I quote per bag, per kilogram or per 1,000 bags?
All three. The rate basis is yours to choose per quotation, because buyers differ: some purchase departments think in rupees per kilogram, some think per bag, and a few work in thousands. The underlying costing does not change — only how the sheet presents it.
Can I put my own terms and conditions on it?
Yes, in your own wording. Payment terms, delivery period, weight and count tolerance, GST treatment, how long the rate holds, and what happens if resin moves before the order is confirmed. Written once, kept, and carried onto every quotation.
Does the quotation print on our own letterhead?
It prints in your house style with your company details, your items, your charges and your terms. The construction drawings are deliberately not on it: they belong on the calculation sheet inside the plant, not on a document that leaves it.
How do I send the quotation to the buyer?
From the task bar, by email or WhatsApp, configured once under Settings → Company. In this industry a quotation reaches the buyer on WhatsApp more often than by any other route, so it is one button rather than export, attach and hunt for the number.
What happens to an old quotation when the resin price moves?
Nothing, and that is deliberate. A quotation keeps the rates it was costed at, because you have to be able to explain a price you already sent. New quotations pick up the new rates automatically, and you can see which live quotations are now below cost instead of finding out at the year-end.
Does the quotation reach the buyer with our cost in it?
No. The buyer's sheet carries the rate, the quantity, the charges and the terms. The cost behind it, the margin and the profit before tax are yours, visible inside Nexora by role. Rates and costs are the most sensitive numbers in a plant and they are treated that way.
Is the quotation module separate software, or part of the bag calculation app?
Part of it. The same application holds the constructions, the constants, the dated price master, the process routes, the costed BOM and the quotation, so a quotation is one step further along the same record — not an export into another system.
